How apostilles work

We navigate the Secretary of State, so you don’t have to

An apostille is a government-issued certificate that validates your document for use in countries that are part of the Hague Apostille Convention. The catch: every state has specific rules, and a single mistake can cause costly delays.

Sound Signing specializes in Washington State apostilles. We verify your documents, coordinate notarization if needed, manage submission to the Secretary of State, and return your completed apostille by courier or mail.

Our 4-step apostille process

  • 1. Review & requirements check – We confirm country-specific rules, document type, and whether notarization or certified copies are required.
  • 2. Document preparation – We coordinate notarization if needed, verify signatures, and ensure your documents are state-ready.
  • 3. State submission – We hand-deliver or mail your documents to the Washington Secretary of State for apostille processing.
  • 4. Return & delivery – Once issued, we arrange secure pickup, local courier delivery, or tracked shipping back to you.

Need it fast? Rush options may be available depending on state processing times and document type.

Questions about apostilles

Apostille FAQs for Washington State

If you don’t see your situation here, include your questions when you request a quote and we’ll address them directly.

Do I need an apostille or a regular notarization?

A notarization verifies your signature within the United States. An apostille is an additional certification from the state that makes your notarized or official document valid in other countries that are part of the Hague Apostille Convention. If your document is going outside the U.S. and the receiving party specifically requests an apostille, you likely need an apostille instead of (or in addition to) a standard notarization.

Can you help if my document was issued outside Washington State?

Apostilles must be issued by the state where the document originated or was notarized. Sound Signing focuses on documents that will be apostilled through Washington State. If your document is from another state, we can often explain what you’ll need to request there or help you determine if a Washington-issued version is possible (for example, by obtaining a Washington notarization of a copy in certain cases).

Do I need to mail you my original document?

That depends on the document type. Some records, like vital records and court documents, usually require certified originals. Others may allow notarized copies. When you request a quote, we’ll tell you whether we need your original, a certified copy, or if a notarized copy is acceptable—and how to send it securely.

How much do apostille services cost?

Pricing depends on the number of documents, the type of documents, whether notarization or certified copies are required, and how quickly you need them completed. State fees are separate from our service fees. Share the details of your situation through our quote form and we’ll provide a clear, itemized estimate before you decide anything.

Can you ship my completed apostille internationally?

Yes. We can return your apostilled documents to you within the U.S. or ship directly to an overseas address using tracked, reputable carriers. Shipping options and rates will be included in your quote so you can choose what works best for you.
